melodyvaughan.co.uk is run by Melody Vaughan as a sole trader. I am committed to protecting the privacy of my clients and website visitors. In this policy I explain what personal data I collect from you and how I use it. I encourage you to read this statement and contact me if you have any queries regarding the data I hold about you.

Information I collect

I collect personal information that you voluntarily provide to me when you enquire about my mentoring services, become a client, sign up for my emails, or interact with my website:

Enquiries

If you make an enquiry through my website I collect your name and pronouns, your email address and any information you share about your practice/business and why you are interested in exploring working together.

Why I need it and how I use it:

I need to know this basic personal data in order to contact you and to help you decide if working with me is a good fit.

How long I keep it:

Your information will be kept until you notify me otherwise. You have the right to be forgotten so contact me if you would like your data to be destroyed.

Mentoring

If you become a mentoring client I collect your name, pronouns, email address and postal address.  I may also collect information which you provide via feedback surveys. I also collect information via your correspondence and communication with me. This data is held in Gmail, Google survey, and on my laptop.

Zoom calls will only be recorded if requested by you. These recordings are stored on Zoom’s cloud and the access details only available to you and me.

Why I need it and how I use it:

I need to know this basic personal data in order to contact you about, to deliver or improve my services.

You will not be added to any other marketing lists unless you have opted in to those yourself. If you are also an email subscriber, please see the Email subscriber section below to see how your data is used in that context.

How long I keep it:

I am required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 years. After this point your information will be kept until you notify me otherwise; you have the right to be forgotten so contact me if you would like your data to be destroyed.

I delete all feedback responses after 1 year.

I delete all zoom recordings within 1 month of upload.

Email subscribers

I collect your name and email address when you opt in to my email list. This data is held in Mailchimp and Substack.

Why I need it and how I use it:

I use this information to contact you about my work – this means that I will send you a regular email of seasonal reflection resources and infrequent marketing communications about new products and services.

How long I keep it:

Your information will be kept until you notify me otherwise.

You have the right to opt out of receiving personal communications at any time by: clicking the “unsubscribe” link at the bottom of emails  or contacting me directly.

Website

I may collect your IP address and information regarding your location and pages accessed. This provides analysis of general website traffic flows, activity and performance. This meta-data is collected and stored in WordPress and Google Analytics and cannot be used to identify you as an individual.

Why I need it and how I use it:

This allows me to analyse my web traffic. This analysis is about general trends rather than you as an individual, and your IP address is encoded and not visible to me.

How long I keep it:

Your information will be kept until you notify me otherwise; you have the right to be forgotten so contact me if you would like your data to be destroyed.

USE OF INFORMATION

The personal information you provide may be used for: 

  • Providing my services to you
  • Providing information to you that you request from me relating to my services
  • Internal record keeping
  • Improving and personalising my services
  • Sending you relevant information updates should you sign up to receive them
  • Promotional and Marketing purposes: with your agreement, to contact you via email, about relevant promotional offers, services and events which I think may interest you
  • Developing new services
  • Client insight and market research purposes, which helps me to better understand your needs
  • Improve your experience on my website
  • Informing you of any changes to my website or services
  • Enabling me to manage all interactions with you
  • Where I have a legal right or duty to disclose your information (for example in relation to an investigation by a public authority or in a legal dispute)

SHARING OF INFORMATION

I do not sell, trade, or otherwise transfer your personal information to outside parties.

I may share information with trusted third-party service providers who assist me in operating my website, conducting my business, or serving my clients, so long as those parties agree to keep this information confidential

YOUR RIGHTS

CHANGES TO THIS POLICY

I may update this Privacy Policy from time to time. I will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
